HubSpot's Activity Association Defaults: The Control You've Been Waiting For

HubSpot's latest update is here to simplify your life (and your CRM data management)! They've introduced a new way to manage how activities like calls, tasks, and notes get linked to your contacts, companies, deals, tickets, and even custom objects.

The Old Way: A Bit of a Mess?

Let's be honest – HubSpot's previous activity association logic was a bit... unpredictable. I don't think there was any team, which would keep all the associations clean and organized. Sometimes, irrelevant activities would clutter up records, making it difficult to find the information you needed. And trying to manually adjust those associations? Let's just say it wasn't the most efficient use of your time.

The New Way: You're in Charge!

With this update, you're now the boss of your activity associations. You can configure default rules for:

  • Which object types to link activities to: Choose whether to link a call logged on a company record to the associated contact, deal, or ticket.
  • How many associated records to link to: Decide if you want to link to all, none, the most recent, or a specific number of associated records.
  • Which activity types to apply the rules to: Customize settings for calls, meetings, tasks, notes, and more.

This level of control means you can tailor your HubSpot to match your specific business processes, saving you precious time and ensuring your data stays clean and organized.

The Fine Print:

  • This update applies to all HubSpot hubs and tiers.
  • You won't be able to configure email logging rules just yet, but HubSpot is working on adding that functionality soon.
  • The logging rules only apply to activities logged directly from a record page.

How to Take Control of Your Activity Associations:

  1. Go to Settings > Data Management > Objects > Activities > Associations tab.
  2. Select the object where the activity is logged (e.g., Contact).
  3. Choose the activity type you want to configure (e.g., Task).
  4. For each associated object, select your desired logging option from the dropdown menu.
  5. Click "Save" to apply your changes.
